Salary Placement:
Salary placement will be on Range 30 of Classified Represented Salary Schedule B.
** Initial salary step placement for new employees is customarily at step 1, 2, or 3
($5,767.00/ $6,115.00/ $6,453.00 per month) of this 20-step salary range.
The probationary period for new Classified employees is six months. The work year is 12 calendar months. The normal workweek for this position is 40 hours. Paid holiday, discretionary, and sick time are provided. Ten vacation days accrue during the first year of employment. A regular work schedule will be assigned, with the ability to occasionally work a flexible schedule as needed with supervisor’s approval.

Position Description:
Under the supervision of Associate Dean, Learning Resources Director of The Learning Center (TLC), Instructional Support Coordinator II (TLC) performs a wide variety of complex, specialized, and responsible operational support and liaison functions, as well as administrative/clerical office support duties. Creates, updates, and maintains various reports, files, logs, and records/databases pertaining to accountability and operations. Provides accurate, consistent, and timely reporting of positive attendance for FTE capture and reporting. Develops, recommends, coordinates, and implements techniques and practices to improve the operation of the office, with a special emphasis on responsible budgeting and expenditures. Performs other related duties as assigned.

Essential Duties:

- Acts as office coordinator and administrative aid to the Associate Dean, serving as a liaison with faculty, staff, students, and the public regarding TLC policies and procedures.
- Manages daily operations, including maintaining calendars; scheduling appointments/meetings; distributing incoming and outgoing mail; processing purchase requisitions; receiving and storing supplies and materials; tracking inventory and maintaining supplies; answering and redirecting inquiries; researching, maintaining, and preparing reports, spreadsheets, and other documents. Attends meetings, conferences, and takes/transcribes minutes and/or notes for the Associate Dean, as assigned.
- Provides project management support, planning and coordinating implementation of new systems and programs.
- Distributes, prepares, and reviews correspondence independently or in accordance with general instructions concerning a wide range of subjects requiring a thorough knowledge of academic instructional policies, regulations, and operational procedures. Refers specific communications or correspondence to appropriate staff members for the gathering of data or for a response.
- Coordinates and schedules room usage at all TLC locations, ensuring efficient space utilization and proper documentation for academic and student support activities.
- Coordinates logistics for different meetings, specialized professional development and trainings, events, and conferences.
- Monitor and analyze complex TLC program budget (s); tracks and projects expenditures in a timely manner; assists in resolving budget issues and problems; monitors and updates budgets and accounts, processes expense reports, purchase requisitions, travel authorizations, reimbursements, and other financial related items. Analyzes, reviews, and provides regular budget reports and projections to the Dean.
- Serves as Account Administrator for TLC’s tracking software to modify user roles and menu options as needed, as well as collaborating with other departments to design, build, and create customized reports for their areas. Audits TLC’s tracking software daily to ensure students are signed in properly and are registered in the TLC section numbers for all locations.
- Provides accurate, consistent, and timely reporting of positive attendance for FTE capture in all areas of The Learning Center, creates and updates student databases, records information on student applications, timesheets, enrollment forms, requests for information, and other related data sources.
- Assists in the preparation and submission of college, State, and Federal mandated reports and documents. Inputs and extracts student data from the District’s computer information systems and coordinates with MIS for presentation to the State.
- Maintains effective communication with relevant faculty regarding student usage of TLC services, including preparing and distributing weekly attendance reports for relevant faculty and athletic department.
- Maintains a tracking system for hours worked and payroll related expenditures of all part-time and full-time academic, administrative, college assistant, short-term, and classified positions. Prepares and processes assigned payroll related documents in compliance with district policy, accreditation, Title 5, and grant requirements.
- Develops budget reports, summarizing the total of the department’s projected operating revenues and expenses. Creates and distributes monthly reports to TLC Coordinators and Dean regarding budget variances. Analyzes budget in order to prepare periodic recommendations for budget adjustments, as necessary. Monitors and evaluates budgeting effectiveness of assigned areas.
- Serves as a point of contact with relevant external vendors for invoicing, forms of payment, and record keeping.
- Assists in hiring and submitting payroll for part-time and short-term employees, monitoring timekeeping records and aligning staffing needs with budget allocations.
- Attends meetings and conferences as required and transcribes notes into summary reports.
- Assists with outreach and recruitment efforts, including the organization and hosting of special events and information meetings. Coordinates administrative details for a variety of events, workshops, and meetings; assists in preparation of presentations, and promotional and informational materials.
- Oversees and performs data input for all relevant department functions; including information that may be of a privileged or sensitive nature.
- Maintains a secure system of accurate and confidential records in accordance with state laws and district policies.
- Maintains and updates departmental websites, digital media, and printed materials to ensure accurate and timely information dissemination.

Qualifications and Minimum Requirements
Experience:
Two (2) years’ full-time experience working in student academic support services in community colleges, universities, high schools, and/or community agencies in a related position required. Possession of an earned Bachelor’s Degree will substitute for one year of the required experience.
Education:
Education equivalent to an Associate’s degree (60 semester units) from an accredited college or university is required. Two (2) years direct experience in addition to that identified above may be substituted for each one year (30 semester units) of college.
Desirable Qualifications
- Additional college level education.
- Experience working in an educational setting, library, or tutoring center.
- Proficiency with office technology such as Windows PC applications(Word, Excel, Outlook, PowerPoint, and Access).
- Knowledge of business office organization and financial record keeping.
- Experience using specialized institutional software and computerized procedures(e.g., Library ILS products such as SIRSI or Voyager; student tracking systems such as Canyons Connect SARS; or enterprise resource planning software such as Colleague/Datatel)
